We are recruiting a School Office Administrator to work with the Admin team in a leading secondary school in the Dublin 2 area.

Purpose of the Role

The School Office Administrator is responsible for providing comprehensive administrative support to the School Office, ensuring the efficient day-to-day operation of administrative, student support, examination and communications functions. The role serves as a key point of contact for students, parents/guardians, staff and visitors, while supporting the delivery of a high-quality educational experience.

Key Responsibilities

Student and Parent/Guardian Support

  • Communicate (telephone, email & in person) with students and parents/guardians and teachers regarding academic matters, attendance, school procedures and general enquiries.
  • Use IT system to record and track all communications with students and parents/guardians via inhouse salesforce system.
  • Support Deputy Principal, Year Heads and School Management Team by providing administration support, addressing student issues and coordinating appropriate follow-up actions.
  • Provide assistance and guidance to students seeking support through the School Office.

Examination Administration

  • Support school team in the planning, organisation and administration of in-house and State examinations.
  • Prepare examination materials, schedules, registers and supporting documentation.
  • Support the coordination of examination venues and logistics.
  • Supervise examinations in accordance with established procedures and examination regulations.
  • Assist with examination-related communications and follow-up activities.

School Operations and Events

  • Liaise with teaching staff regarding staff meetings, examinations, reports and key academic deadlines.
  • Support our school office project team on projects / events throughout the year e.g. attend school events including Open Evenings & Saturday Open days, Parent-Teacher Meetings (evenings), Awards Ceremonies, Graduation Events and other promotional activities, ensuring to represent the School in a professional manner at events and functions.
  • Accompany and support students on educational trips, outings and school activities as required.

Class/Study Supervision

  • Supervise study periods, examinations and classes where appropriate and as directed by management.
  • Promote and maintain a safe, respectful and positive environment for students.

General Responsibilities

  • Maintain strict confidentiality regarding student, parent, staff and school information.
  • Comply with all School policies, procedures, safeguarding requirements and health and safety obligations.
  • Undertake other duties appropriate to the role as may reasonably be assigned by the Principal, Deputy Principals or designated members of management.
  • Support and assist with the implementation and effective use of school technologies and administrative systems.
  • Work collaboratively with the IT team to support administrative and educational systems.

Essential

  • Excellent communication and interpersonal skills.
  • Strong organisational, administrative and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong IT skills, including proficiency in Microsoft Office applications (Word, Excel, Outlook and Teams).
  • Ability to manage competing priorities and work effectively in a fast-paced environment.
  • Professional discretion and ability to handle confidential & sensitive information.
  • Strong customer service focus and commitment to supporting students and parents.
  • Experience working in an administrative or office environment.

Desirable

  • Previous experience working in an educational environment.

Education and Qualifications

EssentialLeaving Certificate or equivalent qualification.

DesirableRelevant qualification in Business Administration, Office Administration or a related discipline.

Requirements: Min 3-5 years previous Office Administration experience, ideally from an Education or similar environment.

Suitable candidates must have excellent organisational skills and be able to multitask.

Salary: €35-37k
