We are recruiting an Office Administrator to join an Irish owned creative events company based in the Dublin 10 area.

This is a full time office based role.

Role Overview

  • General administrative duties in order to keep the office running smoothly.
  • Hands on support to the Directors.
  • Liaising with the outsourcing bookkeeping company, who manage sales invoicing, purchase invoicing, payroll (casual and full time staff), revenue returns and related bookkeeping tasks.

This is a varied, hands-on role suited to someone organised, reliable and comfortable being the point person across finance administration, office operations and director support.

Key Responsibilities

Finance & Payroll Liaison

  • Act as the main point of contact between the company and their outsourced bookkeeping provider.
  • Gather, prepare and submit sales and purchase invoice information to the bookkeeping provider on a timely basis
  • Coordinate weekly/monthly payroll inputs for casual and full-time staff, including hours, new starters and leavers
  • Support the flow of information needed for revenue returns and other statutory filings
  • Maintain accurate, well-organised financial records and filing to support the bookkeeping provider’s work
  • Query and follow up on invoices, payments and payroll queries with staff, suppliers and clients as needed

Office & Fleet Management

  • Run the day-to-day office: supplies, stationery, post, deliveries and general upkeep
  • Track and manage renewal dates for all company vehicles – insurance, motor tax, CVRT/DOE and NCT – ensuring nothing lapses
  • Keep a renewal calendar/tracker for vehicles and other office-related compliance dates
  • Monitor and maintain company insurance policies (currently all up to date), flagging renewals in good time
  • Manage relationships with office suppliers and service providers (stationery, utilities, general maintenance)

Director & Team Support

  • Provide day-to-day administrative support to the Directors across all three companies
  • Assist with scheduling, correspondence, filing and general office administration
  • Support onboarding administration for new staff and contractors
  • Help keep company records, contracts and compliance documents organised and up to date
  • Assist with ad hoc projects and tasks across the business as required

Requirements

Essential

  • Some bookkeeping experience (invoicing, purchase orders, basic reconciliations)
  • Min 3 years office administration/ office management experience.
  • Some payroll experience (processing hours, statutory basics, dealing with queries)
  • Strong organisational skills and attention to detail
  • Comfortable managing multiple deadlines and renewal dates across a small group of companies
  • Confident, clear communicator – able to liaise professionally with an external bookkeeping provider, suppliers and staff
  • Proficient with Microsoft Office / Google Workspace
  • Able to work independently and use initiative in a small-team environment
  • Hours: 8am-5pm or 8.30am-5.30pm, salary €38-40k. Also open to a 4 day week Tuesday-Friday

Desirable

  • Experience working in a small or family-run business
  • Familiarity with accounting/payroll software (e.g. Sage, Xero, BrightPay, Surf Accounts, or similar)
  • Experience in events, production, or a similarly fast-paced creative industry
